How to edit the Event Announcement This Help page is a Wiki and can be edited! Please be bold and improve the page. You can create event announcements, for instance for a workshop, an introductory meeting, a core training, an organisational meeting, a CCI residential etc. 1: Name and description Event Name Type here the Name of the Event. Do not add Dates or Location(s). These can be filled in later. Language Select the language that will be used for this Event announcement Translations are possible. Type of Event Type of Events are categories. CoCoInfo uses these to create lists of specific events, e.g. CCIs. Users can also use these categories to select that type of event they want to see in the lists. For instance, site visitors can see all events re getting started with co-counselling. Event Recommendation Here you can write all the text for attracting people to your event. The first 200 words will also appear in Event Listings. 2: Dates These dates need to be filled in as they determine where in the Event Listings and Calendar your event will appear. You need a separate Date Entry for those days that are separated, e.g. because an event is non residential or the dates are not consecutive. Click in Add another item to add a new Date Entry. In other words, if you run an event that is not on contiguous or a regular pattern of dates, put the dates in separately. If you put in e.g. 27 February - 14 March the event will be shown as occurring on all days between those two dates in the calendar. For example: 13-14 February in the first date section; 28-28 February in the second date section; (put the same start and end date for a one day session) 13-14 March in a third date section. (Click on “Add another item”to add more dates) For regular events just put the start date and finishing date in for the whole series in separate Dates Events Blocks and put other information in the Event Recommendation field. To delete a Date Entry, clear the information associated with it and save. Do not attempt to use the "Delete" key. 3: Meeting place Online Text will come shortly. Venue Details Here come the name and all the address details of the venue. If the city or village is not widely known, fill in the 'State/Province' field as well, even when it is actually a County. People who do not know that place, can easier imagine where it is situated if they see a familiar county/state/province name underneath it. Among others, people can use Google maps to see the exact location of the event. City/Town and Country are also used in filters for people to see the events in areas near them. Sleeping accommodation This might not be available, for instance because it is a day event. Simply leave the text box empty, and nothing will appear in the announcement itself. 4. Money matters Costs of attending Each time you create a new Event Announcement, the field ‘Costs of attending’ will display a default text. Please adapt that text to your needs. Payment arrangements Above the field ‘Payment arrangements’ there are text suggestions. Note that International payments can be collected in a CoCo Foundation account and collectively converted and transferred to your account. 5: Registration/booking On-line registration Co-Counsellors with a CoCoInfo account can register on-line for your event. Why only them? This limitation has several advantages: You can be sure that any person with access to CoCoInfo has completed CCI core training. Registration by a co-counsellor is straightforward. They do not need to provide contact details or core CCI training details. This information has already been gathered and checked as part of applying for the CoCoInfo account. This setup also ensures that you do not get overwhelmed with spam. Once logged in, people interested in your event will click on the Register tab and the registration form opens. After completing the form: The registering person receives a confirmation email. The event organiser receives a notification email. The person who published the Event Announcement can see all the registrations. Three On-line Registration options CoCo-er - simple version Person simply registers him/herself and optionally another co-counsellor registered with CoCoInfo. Contact address details are automatically supplied to the workshop organiser. CoCo-er - day event The same as (1) above, plus Money matters, such as amount and payment method to be used are required. Also, some information about Travel can be provided. CoCo-er - residential This option contains the same questions as the day event option above (2). In addition, extra information about accommodation and dietary preferences is collected. There is also the option of mentioning accompanying children. NOTE: You still need to set the Settings of your registration option! Once you have finished and saved this Event form you will see the 'Manage Registrations' tab. This gives you access to the Settings page of the Registrations where you can set its parameters. Providing Registration Information Each time you create a new Event Announcement, the field ‘Suggestions for Registering’ will display a default text. Please adapt that text to your needs. Attaching a Booking Form and other files You can attach your: booking forms posters leaflets any other file. Click Attachments to view the attachment options Browse for a file to attach Click Attach for attaching the selected file Remove any attachment you want Reorder the attachments You need to click Save at the bottom of the form in order to save your attachment settings. 6: Contact information Here you need to provide your contact details, so that people interested in registering can contact you. If other organisers are involved, their details should be included. It is essential that you provide this information. To maintain online confidentiality, email addresses are scrambled so that they cannot be read by robots. 7. Event's visibility You can also decide how widely visible your event announcement is: to that group or project you are a member of, to all CoCoInfo registered co-counsellors or to the whole Internet. If so, they are automatically published at other Co-Counselling web sites as well. If you would like to make your web site available for embedding event information, contact JanPieter Hoogma. The following settings determine who else can view this event and/or edit it: Draft: only you can see and edit this document. GroupRead: only the groups ticked in Groups can see this event. CoCoRead: only co-counsellors and the groups ticked in Audience can see this event. PublicRead: everybody on the Internet can see your event. It might be recommended to set Residentials to PublicRead. The experience with McCoCo is that you will attract more CCI Co-Counsellors, and in a very,very rare occasion also non Co-Counsellors and RC Co-Counsellors.If you choose this option you need to be prepared for this possibility. Your event will automatically published on CCI-UK, CoCoScotland and CoirnuCopia Co-Counselling. Groups This Audience box shows only when you are a member of one or more groups or projects. Tick the box or select the groups and projects you want your event to be visible to. This doesn't happen when the Event is still in Draft mode. Notifications If ticked, all people who have subscribed to new events generally or to this event in particular will be notified of your submission or update of an event.
